Initially every creator of a project also has full access to the project. It is important to know that this right is not linked to the user himself but to his user group in the team. This means that other users who belong to the same user group on SiteKiosk Online will also have full access. Full access allows you to view the project, edit all properties of each element, publish and delete the project.

The user with full access has the possibility to specifically enable individual elements for editing for different restricted user groups. In doing so, the user with full access can also determine which properties of an element are editable. In addition, the right to change the client assignments for a project can also be assigned to restricted user groups.

You or another user with full access can also subsequently change the user group for full access and transfer it to another user group. It may happen that you, as the creator of a project, no longer have access to the project yourself if another user changes the user group for full access to a group of which you are not a member.

Settings in the project for sharing items with restricted users

You can enable the project for restricted users by activating the "Enable restricted editing of properties for additional users" checkbox in the project settings. Then, in the properties of the respective elements, you can enable the element for editing by restricted users by activating the checkbox "Users in this group can change enabled properties" and selecting a user group in the drop-down menu. When the checkbox is activated, a "Enable for restricted users" checkbox appears under each of the element's options. After an element is enabled for the restricted user group, the project becomes visible for the users of the restricted user group. It is also possible to enable different elements for different user groups. This allows you, for example, to create a project in which one user group can edit news and important information, while the other user group can only edit the layout and advertising. To do this, you release the respective elements for different user groups (e.g. "advertising editor" and "information editor") and assign the corresponding users to these groups. By restricting the properties that can be edited by restricted users, you ensure that no unwanted changes are made, e.g. to the layout or appearance (color, border), and that the restricted users can focus solely on the important properties such as the content.

Please note:

Only after activating the "Enable restriced editing of properties of additional users" option in the project settings, the user rights option is displayed in the elements' properties dialogs and is only visible for the user group with full access!

Settings in the project for adding elements for restricted users

After activating "Enable restricted editing of properties for additional users" in the project settings, the additional option "Users in this group can insert new elements" appears in the user rights section of the container elements.

By activating the function, restricted users can add all standard elements. Once an element template exists for the container, only the element template can be added by restricted users.

Please note:

Only self-created elements can be deleted by restricted users! All users of the corresponding restricted user group can delete these elements. Elements created by users with full access can generally not be deleted by restricted users. Restricted users may only copy elements if they are also allowed to edit them.

Enable client assignments for restricted users

To enable client assignment for restricted users, you must also activate the "Restricted users can change client assignments" checkbox in the project settings.

Please note:

For a user clients are visible on the Publish page only if his user group or the user himself has a role with the Show Clients - Show All permission. In addition, the client folder must be shared with its user group or with the user himself.

Transfer full access of a project to another user group

To transfer the full access from one user group to another, you need to change the corresponding user group in the project settings in the drop-down menu and confirm the change with Save.

Please note:

Note that the drop-down menu will only display the groups that the currently logged in user on SiteKiosk Online belongs to.

Set up a restricted user group that cannot create or copy projects

To prevent restricted users from creating projects, you must create a new user group that has the Projects right but not the Create Projects right.
